Custom Invitation Emails allow you to personalize the email sent to new users when you add them to your Helpjuice knowledge base. This feature enables you to align the invitation email with your brand and provide a more tailored onboarding experience for your team members.
How to Customize Your Invitation Emails
Step 1: Access Customization Settings
Navigate to the Customization page in your Helpjuice dashboard.
Step 2: Locate Invitation Email Settings
Click on the Invitation Email option within the Customization page.
Step 3: Enable Custom Emails
Check the box next to Use Custom Invitation Email to activate this feature.
Customization Options
Email Subject
Customize the subject line of your invitation email. Consider including your company name or a welcoming message.
Email Body
Edit the main content of your email. You can:
- Add your company logo
- Customize the greeting
- Provide specific instructions for accessing the knowledge base
- Include information about your company or team
Styling Options
Adjust the look and feel of your email:
- Change font styles and sizes

Managing Invitation Emails
Resending Invitations
If a user reports that they haven't received their invitation or if it was accidentally deleted or marked as spam, you can resend the invitation:
- Go to the Users section in your Helpjuice dashboard
- Find the user who needs a new invitation
- Click on the "Resend Invitation" option next to their name
This will send a fresh invitation email to the user's registered email address.
Tip for Avoiding Spam Filters
Advise your users to add the Helpjuice sending email address to their safe senders list to prevent invitation emails from being marked as spam.
Important Note
Ensure that your custom invitation email still includes all necessary login instructions and links to help new users access the knowledge base successfully.
Preview and Save
After customizing your email:
- Click Save to apply your changes.
- Helpjuice will automatically send you a preview of your custom invitation email.
- Review the preview carefully to ensure all information is correct and formatting is as desired.
- If you need to make further changes, simply repeat the customization process.
