Importing users in bulk can save significant time, especially when onboarding large teams. This guide walks you through the process of importing users into your Helpjuice account efficiently.

In this article, you'll learn:

  • How to prepare your CSV file for user import
  • How to import users from a CSV file

Preparing Your CSV File

To import users, you'll need a CSV file with the following columns:

  • First Name – User's first name
  • Last Name – User's last name
  • Email – User's email address (must be in lowercase)
  • Job Title – User's job title (optional)

Ensure that email addresses are in lowercase to prevent import errors.

 

Importing Users from a CSV File

Log into your Helpjuice account.

  1. Navigate to your Dashboard.
  2. Click on the Users button.
  3. Click on the Import from CSV button.
  4. Choose one of the following options:
  • Download an example – to get a sample CSV template
  • Choose a file to import – to upload your prepared CSV file

The import preview will display the first 10 rows of your CSV file. You can import as many users as your plan allows.

 

Assigning User Roles and Groups

During the import process, you can assign:

  • User Role – The default role is Internal Viewer.
  • User Group – Assign users to a specific group if needed.

You can assign only one user role and one user group per import.

  • Duplicate Users: If a user already exists in the Knowledge Base, the import will fail for that user.
  • Invalid Email Addresses: Ensure all email addresses are in lowercase; otherwise, the import may fail.

  • Validate Your CSV File: Before importing, double-check the data for accuracy and formatting.
  • Assign Roles and Groups Wisely: Plan your user roles and groups ahead of time to streamline the import process.
  • Monitor Import Progress: After initiating the import, monitor its progress to address any issues promptly.
