What Is a Shareable URL?

A Shareable URL is a unique, encrypted link that allows external users to access internal articles without needing to log in. This feature is ideal for sharing specific content with partners, clients, or other external stakeholders.

How to Create a Shareable URL

  1. Navigate to the article you wish to share.
  2. Click on the Access Level section below the article's title.
  3. Select Shared URL.
  4. A pop-up will appear; click on the link to copy it.
  5. Click Save to confirm.

How to Regenerate a Shareable URL

  1. If you need to change the Shareable URL for security purposes, you can easily regenerate it.
  2. Navigate to the article with the existing Shareable URL.
  3. Click on the Access Level section below the article's title.
  4. In the pop-up, click on the Regenerate button.
  5. A new link will be created; click on it to copy.
  6. Click Save to confirm.

How to Disable Article Access via Shareable URL

If you no longer wish to allow access to an article via its Shareable URL, you can disable it.

  1. Navigate to the article with the existing Shareable URL.
  2. Click on the Access Level section below the article's title.
  3. In the pop-up, click on Disable Link Sharing.
  4. The link will be automatically disabled, and the access level will switch to Internal.

Best Practices

  • External users with a Shareable URL can only view the article(s) they have the link to.
  • Always share URLs only with trusted users to maintain content security.
  • Regenerate URLs if a link is compromised or shared inappropriately.
